Who this is for, and who it isn't

"Multi-agency" gets used for two different things. One is a single agency growing from one person to a team. The other is a network: a franchise or a group with several branches that wants to see all of them in one place.

This post is about the first. Loftfolio has no group layer, no cross-branch reporting and no consolidated billing across offices. One account is one agency. If you're running a network, we're not the right tool, and we say so on this page.

What changes when you hire

Solo

  • You know where every applicant stands because you're the only one talking to them
  • One inbox, one phone, one spreadsheet
  • Nobody else needs access to anything

A team of three to ten

  • Two people can reply to the same applicant, or both assume the other did
  • Someone is off sick and their conversations are on their phone
  • New hires need access on day one and none on the day they leave
  • You need to see what's happening without asking everyone

What to look for

Shared records, not shared inboxes

Every applicant as one record with the messages, notes and documents on it, visible to anyone on the team. That's what lets someone pick up where a colleague left off.

Simple roles

For most small agencies, two roles are enough: an owner who controls billing and the public site, and agents who work the listings and applicants. Complicated permission schemes are for organizations with a compliance team to maintain them.

Clean exits

When someone leaves, their access should end at once and their history should stay with the agency.

Pricing that doesn't punish hiring

Per-seat pricing means every hire is also a software decision. Work out next year's bill at your current size and at the size you're hiring toward. Some tools charge per user, some per unit or listing, some per account.

Export

If you ever leave, you should be able to take your listings, applications and messages with you.

The honest limits

  • Branches: if each office needs its own site and pipeline and head office needs one view across them, you need a tool built for groups.
  • Very large teams: past about ten people, you likely need more structure than a small-agency tool offers.
  • Sales-heavy work: if you mainly sell rather than let, a sales CRM with transaction management may fit better.
